Detailed Steps on How to Use the Test Taker List Upload Function

What is the Test Taker List Upload Function?

By uploading test taker information via the admin panel, you can automatically send test instructions to the test takers via email. Additionally, as the test date approaches, reminder emails will be automatically sent to the test takers.

 

Benefits of Using the Test Taker List Upload Function

  • Registering or merging test taker information in advance allows for easy management and analysis of test results.
  • Editing registered information simplifies the management and analysis of test takers and their results (ID, User Name, Department Name, TOEIC L&R Score).
  • Sending test instruction emails from the admin panel helps increase participation rates.
  • Even if "Email Domain Control" is selected, test takers can take the test using an email address from an unregistered domain.

  • Required Fields:
    • Email address (Only email format is allowed)
  • Optional Fields:
    • ID
    • User Name
    • Department Name
    • TOEIC L&R Score (numeric values only)
    • Test ID

      Except for TOEIC L&R Score and Email Address, there are no restrictions on other fields.
      Department Name can only be set if it was specified as a free entry during the application. It cannot be set via CSV upload if list selection was used.

※Registration notification will only be sent to those newly registered via the list upload.
 Updates (such as changes to names or department names) will not trigger this notification.

 

About Emails to the Administrator

The following emails will be sent depending on the success or failure of the list upload:

1.When the list upload is successful

2.When there are errors in the list upload due to deficiencies in the content

 

Precautions and FAQs About the Test Taker List Upload Function

File Format:
→Create the file as a CSV. When using Excel or other applications, save it in the correct format.

For Registration/Update:
→ For registration, specify the email address.
→ For updates, specify both the email address and Test ID. Obtain the necessary Test ID from the CSV download.

  • Update Precautions
    • Part 1:
      • When changing the Department Name, ensure that ID, Name, and TOEIC Score are correctly set in the CSV file.
      • For example, if only the department name is to be changed, and the file contains only the name and email, uploading the CSV will overwrite Name, Employee ID, and TOEIC Score with blank values.
    • Part 2:
      • Names cannot be changed after the test has been taken.

Frequently Asked Questions (FAQs):

How can I tell if the upload was successful?
→A confirmation will appear on the site, and a registration completion email will be sent.

What should I do if the upload fails?
→The process may take some time depending on the number of records being registered or updated. An email will be sent to the administrator once the process is complete.

What if the uploaded test takers don't appear in the list?
→The test taker list updates once per hour. Please wait for the update to complete.

What should I do if the upload fails?
→ Error details will be displayed in the CSV file. Follow the instructions to fix the issue. Data will only appear in the test taker site once the upload is successful. See the next section for error details.

 

Test Taker List Upload Errors at a File Level

The system will check the file upon selection. If there are any issues, an error will be displayed. Please follow the instructions to resolve the issue.

If you are registering more than 2,000 entries, please split the file so that each file does not exceed 2,000 entries and upload them separately.
New test takers cannot be registered because the examination period hasexpired. While updating already registered data after the test deadline is possible, adding new test-takers is not allowed. Please upload the file excluding any additional test-takers.

 

The following will be checked when selecting the file, and any discrepancies will be displayed as errors. Please follow the "Resolution Method" to address them.

When Does It Occur? How to Resolve It
The CSV file may be saved in the "Shift-JIS" format. Please use the template file to configure the data.
If you are creating the data in Excel, be sure to select "CSV UTF-8 (Comma delimited) (.csv)" as the file format when saving.

 

 

Test Taker List Upload Errors at a Row Level

The system will also check each row of the file. If any errors occur, they will be shown and you will need to address them according to the instructions.

TOEIC Score is required. If the number of column headers or commas is insufficient, the data format is incorrect. Please use the template file again to set the values properly.
Email Address is required. If the number of column headers or commas is insufficient, the data format is incorrect. Please use the template file again to set the values properly.
Email Address format is incorrect. This message appears when the email address is not in the correct format. Please check the email address. If an email address is set, it may not be in the correct format.
Email Address duplicate error. It also appears when the same email address is set multiple times in the file.

There may be duplicate email addresses in the CSV file. Please check the Email column.
TOEIC Score is not correct score. Numeric check: This message appears when a value outside the range of 0-990 is set. When setting a TOEIC Score, please ensure that the value is within the range of 0 to 990.
TOEIC Score is not number. Numeric check: This message appears when a non-numeric value is set. The TOEIC Score may contain symbols or full-width numbers. Please verify the data format.
